Position Overview

We are currently seeking a Shipping Admin Assistant to join our Transportation Department. This role supports the flow of release processing, vendor communication, documentation management, and coordination with internal departments to ensure accuracy and timely delivery scheduling.

Responsibilities and Qualifications

Key Responsibilities

  1. Release Processing & Coordination
  • Process releases to the Wood Department, ensuring all required information is included:
  • Contact information
    • Delivery requirements
    • Delivery schedule
    • Hardware schedule
    • Shops, elevations, sill details
    • Quotes and relevant correspondence
  • Confirm that requested delivery dates can be met by the vendor and allow sufficient processing time for the Wood Department
  • Assign releases based on previous orders or as determined by department management
  • Forward tje Logistics Coordinator release form for review and introductory phone call
  • Update the Wood Door Job List File

 

  1. Documentation & Filing Management
  • Maintain an accessible, organized filing system for all departments
  • Manage internal documentation, ensuring files are current and complete, including:
    • Purchase orders
    • Quotes
    • Closeout documents
    • Submittals and Approvals
    • Relevant correspondence
    • Tag lists linked to POA

 

  1. Vendor Communication & Order Management
  • Send delivery schedules for processed orders to the Logistics Coordinator for orders shipping to Port Washington or via third-party carriers.
  • Forward vendor acknowledgements to the lister for review, verifying quantity and cost accuracy and identifying discrepancies.
  • Ensure acknowledgements are received promptly; follow up with vendors as needed.
  • Confirm AS400 tickets are requested and processed on time and that POs are forwarded to Payables.
  • Manage vendor order acknowledgements to ensure timely and accurate processing.

 

  1. Miscellaneous
  • Support our values in the stand areas of Safety, Customer Focus, Teamwork, Integrity and being a Company of Choice for both employees and customers. 
  • Other duties as assigned.

 

Qualifications

  • Customer-oriented, motivated, and equipped with strong communication, organizational, and problem-solving skills.
  • Ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
  • Self-motivated and capable of handling several tasks simultaneously.
  • Proficiency with Excel, Word, and Outlook.

 

Required Knowledge, Skills & Abilities 

  • Strong communication and effective working relationships with internal departments.
  • Ability to maintain professional vendor relationships.
  • Demonstrated ability to meet project goals and deadlines.
  • Accurate, timely, and accessible documentation management.
  • Keeps management appropriately informed of progress, challenges, and significant issues.
  • Performs administrative tasks with accuracy and in compliance with company policies, procedures, and quality standards.

Compensation

The listed pay range reflects the expected base rate for this position; actual compensation may vary based on factors such as experience, qualifications, and cost of living in the assigned market. This is a full-time position with competitive pay and benefits.

  • Base: $25-$32/Hourly
  • Bonus: Not Eligible
  • Job Type: Full-Time
